Receptionist – Ensuring Excellence in Patient Care and Referral Relations
Position Summary: Embark on an exciting journey as a receptionist, playing a pivotal role in upholding top-tier patient care and fostering valuable referral relationships. From Monday to Thursday, between the hours of 9 am to 5 pm, you’ll be at the forefront of our mission. Minimum Position Requirements:
Education: High school diploma or equivalent, with some college coursework preferred.
Experience: Previous experience in a Durable Medical Equipment Company (DME) is preferred.
Knowledge: A background in the medical field is highly desirable, with knowledge of DME being an advantage.
Special Skills/Equipment: Proficiency in processing cash transactions and utilizing general office equipment, including FAX machines, copy machines, and automated authorization systems. Proficient computer skills and data entry experience are essential. The ideal candidate should possess patience, clinical environment expertise, and excellent written and verbal communication abilities.
Physical Requirements: The role requires sedentary work for approximately 75% of the day, as well as the ability to navigate spaces, climb stairs, bend, and stretch as needed. Effective communication through hearing, reading, writing, and speaking is crucial. Long periods of computer data entry, following instructions, handling sensitive matters, and solving unique problems are essential components of the role.
Key Responsibilities:
I. Order/Paperwork Processing
– Process patient orders and assigned paperwork accurately and promptly.
– Handle cash transactions with precision.
– Log rental assets on paperwork for clients renting equipment.
– Verify insurance and communicate coverage details to patients.
– Collect co-pays during service and document interactions accurately.
II. Patient Care/Teamwork
– Provide courteous and pleasant phone interactions, even in tense situations.
– Greet patients with respect, kindness, and effective assistance.
– Explain patient rights and responsibilities.
– Collaborate positively with team members, office staff, and external referrals.
– Assist colleagues to alleviate their workload.
– Notify patients of back orders and pending authorizations, ensuring they are informed about delivery delays.
III. Product and Equipment Knowledge
– Demonstrate proficiency in using computers and office equipment.
– Attend scheduled in-services and actively participate in staff meetings.
– Exhibit expertise in DME, supplies, and respiratory equipment to address client inquiries or direct them to appropriate resources.
IV. Problem Solving
– Effectively manage emergencies and challenging tasks while fulfilling routine duties.
– Resolve work-related problems constructively.
– Identify, analyze, and solve problems, suggesting improvements to existing policies and procedures.
V. Other Assigned Duties/Special Assignments
– Maintain a tidy and organized work area, removing unnecessary items.
– Undertake special projects or tasks assigned by the department manager to support various departments.
– Demonstrate a positive team attitude and proactively seek tasks or assist colleagues during idle moments.
VI. Universal Criteria
Quantifiable Dimensions:
– Process 70-100 orders monthly on average.
– Handle 500-760 phone calls monthly on average, including non-order inquiries.
– Maintain error-free orders at 4% or less.
– Possess a working knowledge of over 30 pieces of equipment and various supplies.
Freedom to Act/Accountability: The incumbent is expected to work independently with minimal supervision, prioritizing patient service and upholding Everything CPAP’s best interests.
HIPAA; Access to Protected Health Information (PHI) is a requirement. Maintaining PHI confidentiality in line with HIPAA regulations is paramount at Everything CPAP.
Working Relationships/Contacts: This role involves interaction with clinicians, therapists, delivery personnel, respiratory staff, billing department members, management, and stakeholders. External contacts include vendor representatives, physicians, providers, insurance company representatives, patients, and their families/caregivers.
